How to add the signature to your email
Click Copy signature first, then:
- Gmail (computer): Settings (gear) → See all settings → General → Signature → Create new. Paste into the box, choose it for new emails and replies, then click Save Changes at the bottom.
- New Outlook and Outlook on the web: Settings (gear) → Accounts → Signatures → Add signature. Give it a name, paste, tick when to use it and Save.
- Classic Outlook for Windows: File → Options → Mail → Signatures → New. Paste and click OK. You can also use the downloaded .htm file.
- Apple Mail (Mac): Mail → Settings → Signatures → +. Untick “Always match my default message font”, then paste.
Steps follow Google's and Microsoft's help pages (checked November 2026); menus can move, so check there if yours look different.
What makes a signature work in every inbox
Email apps strip most web styling, so this tool builds the signature from simple tables with the styles written on each line, and uses fonts every computer has. Links are real links: tap a phone number to call, an email to write, WhatsApp to chat. Keep it short: name, role, one or two ways to reach you, and a link.
Frequently asked questions
Why doesn't my photo show in the signature?
Email signatures load pictures from the web, so the photo or logo needs a public link that starts with https://, for example from your website or LinkedIn. Pictures stored only on your computer can't be shown to the people you email.
Is there a length limit for a Gmail signature?
Yes. Google allows up to 10,000 characters, and pictures count towards that. The signatures made here are well under the limit.
Can I make a signature in Arabic or Urdu?
Yes. Type your details in any language and tick Right-to-left. The signature is then laid out from the right, as Arabic and Urdu readers expect.
Do you keep my details?
No. The signature is built in your browser and nothing is sent to us. Your details are remembered only in this browser so you can come back and edit; Clear removes them.
